1. Do I need to have an Internet connection to use the tuOtempO service?Yes. tuOtempO is a service that is entirely hosted on the tuOtempO server in a maximum-security Data Centre. To access tuOtempO you will need an active connection to the Internet. 2. What type of connection do I need to use the tuOtempO service?The tuOtempO system works best with a broadband Internet connection, which can cost as little as €19 per month, and which allows you to be constantly connected to the internet. The trial period can be carried out using a dial-up connection, but this is not practical in the long term if you wish ultimately to do away with paper-based calendars. 3. What happens if I lose my Internet connection?tuOtempO sends you a copy of your calendar via FAX, with all the appointments that have been made for the next four weeks. Standard ADSL connections go down for no more than several hours per month, and on these rare occasions a print-out of your calendar can be used to enter new appointments. When the connection is restored, any new entries are copied into the system. 4. What is the advantage of using the service via Internet?With tuOtempO, there is nothing to install, no extras to buy, no periodic updates to carry out, and no need to start from scratch when you change computer. Everything resides in a secure and dedicated environment, with constant security controls and regular automatic updates. 5. What do I do if I have a problem?If you have a problem, just contact the tuOtempO Customer Support team, who can access your system directly over the Internet and intervene immediately. You don't have the pain of waiting for a technical engineer to come out in person at an hourly rate, and most problems can be solved very quickly. 6. My Electronic Record Management software already includes an electronic calendar. Why do I need another one?Electronic Record Management software is designed to record the personal information and medical history of the client collected inside the practice. For this reason, it is built to reside within computers on a local network and to only be accessible by internal staff. It cannot communicate and interact with the client. The client cannot see it, the doctors cannot see it out of working hours and the clients cannot use it to book their own appointments. In practice, it is usually inaccessible to those who most need to consult it. 7. My Electronic Record Management software already lets me send SMS to my clients. Why do I need another system?EMR software usually requires you to send SMS manually. tuOtempO is a specialised service that guarantees: o Automatic SMS delivery o Visual Confirmation of sent text messages o The sending of SMS even when not connected o An optional request for confirmation via text message by the client o Text messages to international mobile phones (useful for clients who are tourists or temporary residents ) o Lowest text messaging costs. 8. How can I be sure that a SMS reminder was successfully sent?tuOtempO only sends messages using telephone operators that are able to confirm their receipt and alert the sender if the message has not been sent (because of bad reception, wrong number, etc.). The status of a message is visible in the tuOtempO calendar so that you can immediately know if you ever need to intervene. 9. Can I ask my clients to reply by SMS to confirm or change an appointment?Yes. It is possible to send your clients messages that contain a request to reply whenever they need to cancel or reschedule. You could, for example, include the request in the message that records the appointment. 10. My clients' data is already on another system. Do I need to duplicate it?It is normal for you to already have a system in place for the clinical and administrative management of your clients. tuOtempO does not interfere with this. For each client, tuOtempO requires only three pieces of information - first name, last name and mobile phone number (and email address, if available). All of this information can be imported automatically from your system during the activation process. 11. Do I need to obtain the explicit consent of all of my clients in order to use tuOtempO?tuOtempO does not use any data in its communications that could disclose confidential medical information about your clients. Nevertheless, It is advisable to ask your clients for their authorisation to use their basic contact information (name, phone and email) so that you can send them reminders etc. It is usually sufficient, according to local laws, for you to tell your clients (when they phone for an appointment) that unless they have any objections, their contact details will be used to send them SMS. If they agree, you then record their consent into the system, from which point onwards the system will allow messages to be sent to them. If you prefer written authorisation from your clients, you can request that they sign a consent form when they come in for an appointment. What do my clients need to do if they don't want to receive any emails or SMS?tuOtempO is committed to defending people's right to privacy, and therefore enables all clients to express their personal preference about what they receive. All users can personalise or choose not to receive messages, and can indicate their preference by phone, Internet, email or SMS in compliance with the European Anti-Spam Directive on unsolicited communications. 13. What happens if I decide to suspend the service?Nothing. To suspend the service, you must give 30 days' notice. When the contract has been terminated, you will receive a copy of all your appointments. 14. How long will it take to get tuOtempO up and running at my private clinic?Normally, we can activate the service, set up staff on the system and, if necessary, import client data in less than 2 hours. |
